Administrative Assistant, CFO and National Human Resources Director

Position Summary
The Administrative Assistant of the Chief Financial Officer is responsible for performing a wide range of accounting/administrative functions in order to assist and support the CFO, Accounting Department and Human Resources Department.

ESSENTIAL FUNCTIONS

- Assist Accounting department with month end closes
- Review and prepare rent statements/payments
- Assist with quarterly packages (PowerPoint/PDF) to Board of Directors, Budget and Finance Committee and Audit Committee and coordinate committee meetings: contact members to inform them of upcoming meetings.
- Assist with year-end audit requests, update audit reports, and distribution
- Review event contracts: check calculations and conformity to DCI policies and procedures,
- prepare for CFO’s signature, distribute as required
- Manage leases: monitor lease term dates, advise CFO when term date is
- approaching; assist CFO in communication with landlord as determined through negotiation,
- review requests for additional payments for operating and real estate escalations
- Act as insurance liaison: gather information and complete yearly renewal applications for all coverage other than employee benefits and prepare for appropriate signature; interface with insurance brokers in any and all aspects of policies
- Distribute and track Regulatory Filings: quarterly distribution of Focus state filings, quarterly NYS Disability premium report and semi-annual Ohio Worker’s Comp premium report, annual audited financial reports, tax filings (annual returns and quarterly estimates)
- Send out Monthly Expenditure Reports to regional and corporate offices
- Keep CFO’s calendar ensuring it is up to date and schedule meetings as necessary
- Arrange travel and hotels on a limited basis for CFO
Other Duties: Such other duties as directed by the CFO as he/she deems appropriate and necessary to meet the needs of the CFO and Accounting Department.

Knowledge, Skills, Experience & Licensing Requirements
- Minimum of 3-4 years administrative experience
- Proficient in use of Microsoft PowerPoint, Word, Excel, and Outlook
SUPERVISORY RESPONSIBILITY: This position has no supervisory responsibilities
WORK ENVIRONMENT: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, filing cabinets and fax machines.
PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This is largely a sedentary role; however, this position requires constant communication and the ability to exchange accurate information, the ability to operate a computer and other office equipment, lift files, open filing cabinets and bend or stand as necessary.
POSITION TYPE/EXPECTED HOURS OF WORK: This is a full-time position. Hours of work are Monday through Friday (80% in office 20% remotely), 9:00 a.m. to 5:00 p.m., 35 hours per week. Work extended/evening hours, when needed.
TRAVEL: Travel is not expected for this position.
