Location: Livingston, NJ

Position Summary:

The Administrative Staff position is responsible for providing clerical and administrative support to two National Directors in their respective sales/programming areas.

ESSENTIAL FUNCTIONS

  • Communicate/collaborate with all sales staff in our offices around the country regarding local/national sales/marketing initiatives
  • Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries.
  • Answer phone calls, transfer calls, take messages and assist callers, make copies, manage correspondence, etc.
  • Make travel arrangements
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
  • Organize catering when necessary
  • Maintaining the current filing and database system, and looking for ways to improve current systems
  • Create/maintain mailing lists in Excel and Constant Contact
  • Produce quarterly sales/activity reports and Power Point presentations
  • Produce transaction reports using company database/reporting platform
  • Creating ad hoc reports and updating existing ones
  • Monthly expense reconciliation in online expense reporting platform
  • Online research to update/secure sales/marketing contacts
  • Organize and support events, both virtual and in-person, conferences and overseas delegations planning/production
  • Enter commitments and other information in company database
  • Take meeting minutes
  • Order and maintain inventory of office supplies

OTHER DUTIES: Such other duties as directed by the Office Manager and Executive Director National Director as it deems appropriate and necessary to meet the needs of the organization.

KNOWLEDGE, SKILLS, EXPERIENCE & LICENSING REQUIREMENTS

  • A minimum of 3 years’ experience in an administrative environment
  • Strong organizational, administrative, and time-management skills
  • Ability to manage multiple projects simultaneously and work well under pressure.
  • Highly motivated, must be a team player and adapt to any and all challenges presented.
  • Strong oral and written communication skills
  • Proficient in use of MS Word, Excel, Power Point, and Outlook, Zoom/WebEx, and Salesforce
  • Strong ability to learn new applications/programs/skills
  • Self-starter, demonstrates initiative, make suggestions, add/improve skills
  • Able to prove to be a team player and be part of a successful team
  • Prior experience in event coordination or customer service is a plus

SUPERVISORY RESPONSIBILITY: This position has no supervisory responsibilities.

WORK ENVIRONMENT: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, filing cabinets and fax machines.

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

This is largely a sedentary role; however, this position requires constant communication and the ability to exchange accurate information, the ability to operate a computer and other office equipment, lift files, open filing cabinets and bend or stand as necessary.

POSITION TYPE/EXPECTED HOURS OF WORK: This is a full-time position. Hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m., 35 hours per weekWork extended/evening hours, weekends, and holidays when needed.

TRAVEL: Travel is expected (domestic and/or international) for this position.

SECURITY CLEARANCE: Must successfully pass background check, and fingerprinting (if applicable)
